Terms and conditions
These terms apply when you hire a coach or minibus with a driver from RITAAT AL HAYAT COACH LTD (“we”, “us”), which trades as Ritaat Coaches. Please read them with your quotation. Nothing in these terms affects your statutory rights as a consumer.

2. Quotations
A quotation sets out the vehicle, journey, dates, price, inclusions and exclusions we are offering. It is valid until the expiry date shown on it. Prices are based on the details you gave us. If those details change, we may need to issue a new quotation.
An enquiry or quotation does not reserve a vehicle or driver.
3. How a booking is formed
A contract is formed when you accept an unexpired quotation and we confirm the booking in writing, including by email. Vehicle availability is confirmed only at that point. Accepting a quotation does not mean that any payment has been received.
4. Deposit and balance
We take a 50% deposit to book. The balance is due 7 days before departure. If you book within 7 days of departure, you pay in full when you book. The amounts and dates are shown on your quotation.
A payment counts only after we have received and recorded it. If the balance is not paid on time, we may treat the booking as cancelled by you, after first contacting you.
We are VAT registered. Passenger transport in a vehicle with 10 or more seats is zero-rated for VAT, and all our own vehicles have 16 or more seats. Your quotation shows the VAT position for your trip.
5. Cancellation by you and refunds
You may cancel by telling us in writing. Any cancellation charges that apply to your booking must be clearly disclosed in the quotation you accepted or in your booking confirmation. If no cancellation charges were disclosed to you, we will explain any amount we propose to keep before deducting it, and it will reflect only the costs we have reasonably incurred. Any refund due will be paid to the original payment method within 14 days of cancellation.
Under regulation 27 of the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, the 14-day cancellation period generally does not apply to passenger transport services. This does not affect your other statutory rights, including those under the Consumer Rights Act 2015.
6. Changes you ask for
We will try to accommodate changes to times, routes, stops or passenger numbers. Some changes may alter the price, the vehicle required or the legal driving time available. We will tell you before you agree to them.
7. Waiting time and extra mileage
The price covers the itinerary and timings in your quotation, up to a maximum of 10 hours a day. At pick-up the driver waits 15 minutes past the booked time at no charge. After that, waiting may be charged. Extra hours, extra mileage or unplanned diversions requested on the day may be charged, and are subject to driver-hours limits.
8. Passengers and luggage
The number of passengers must not exceed the seats available. Luggage must fit safely in the luggage space. Please tell us in advance about large, heavy or unusual items. We may refuse items that are unsafe or unlawful to carry.
9. Accessibility and special requirements
Our own vehicles are wheelchair accessible. Please tell us about any accessibility needs, mobility equipment or other requirements when you enquire, so we can confirm a suitable vehicle is available. We will make reasonable efforts to meet requirements we have agreed in writing.
10. Conduct, smoking and damage
- Passengers must wear seat belts and follow the driver’s safety instructions.
- Smoking and vaping are not permitted on any vehicle.
- The driver may refuse to carry anyone who is intoxicated or behaving in a way that endangers safety.
- The hirer is responsible for the reasonable cost of repairing damage, or of cleaning beyond normal use, caused by their party.
11. Pick-up and no-shows
Please be ready at the agreed pick-up point and time, and make sure the address you gave us is accurate and accessible for the vehicle. If your party does not arrive within a reasonable period after the agreed time and we cannot reach you, the journey may be treated as a cancellation by you.
12. Driver hours and legal restrictions
Our drivers must comply with applicable drivers’ hours, rest and road-safety requirements. Itineraries may need to be adjusted, or an additional driver provided at extra cost, so that these rules are met. The driver’s decision on safety matters is final.
13. Delays and events outside our control
Timings are estimates. We are not responsible for delays or failures caused by events outside our reasonable control, such as traffic, road closures, severe weather, accidents, strikes or public events. We will keep you informed and do what we reasonably can to reduce the impact.
14. Vehicle substitution, breakdowns and partner operators
We may provide a different vehicle of a similar or higher standard. Where necessary, including for larger groups and extra vehicles, we may use a suitably licensed and insured partner operator to perform all or part of the service. Your written quote says which vehicle you get. We remain responsible to you for the service. If a vehicle breaks down, we will tell you straight away and do what we reasonably can to keep your journey going.
15. Cancellation or changes by us
If we have to cancel, we will tell you as soon as possible and offer a suitable alternative or a full refund of the money you have paid for the cancelled service.
16. Our liability
We are responsible for loss or damage you suffer that is a foreseeable result of our breaking these terms or failing to use reasonable care and skill. We do not exclude liability where it would be unlawful to do so, including for death or personal injury caused by our negligence, or for fraud. We are not responsible for property left on a vehicle, except where the loss is caused by our negligence. Business customers: our total liability is limited to the price of the booking, except as above.
17. Complaints
If you are unhappy, please email info@ritaatcoaches.co.uk with your booking details. We aim to acknowledge complaints within 5 working days and to respond fully within 28 days.
18. Your information
We use your personal information as described in our privacy policy.
19. Governing law
These terms are governed by the law of Scotland. You may bring proceedings in the Scottish courts, or, if you live elsewhere in the UK, in the courts of the part of the UK where you live.
